Ontario Company Key Explained: What It Is and Why You Need It

What Is the Company Key?

At its core, the Company Key is a confidential, system-generated passcode—usually a 9-digit —that grants access to your company’s information in the OBR. 

It functions a lot like a strong password, but for your corporate records. Together with your My Ontario Account (the login system for provincial services), the Company Key gives you a two-step entry to the OBR, reducing the risk of unauthorized changes. 

The OBR is Ontario’s centralized digital registry for businesses. It holds all the filings, registrations, corporate data, and updates needed for running a business in the province.

Why You Need a Company Key?

Here’s where it gets serious. As of February 1, 2025, the Company Key isn’t optional anymore. You need it to:

Entities incorporated or registered before October 19, 2021, might never have needed a key before. Now they will, every entity in the OBR must have a Company Key to transact under the new system.

You may rely on a lawyer, accountant, or corporate service provider to manage filings for you. They will need the Company Key to do that on your behalf.

Once linked, your business operations become much easier. You can do everything online (90+ types of transactions) via the OBR, such as renewing registrations, ordering certificates, or updating your profile. 

How to Obtain a Company Key?

For new businesses

If you incorporate or register your business on or after October 19, 2021, the system issues the Company Key automatically during registration. The key is typically sent to your official email address.

Head to the Ontario Business Registry website and provide the requested information to set up your OBR profile.

For existing businesses

If your business was created before that date, or you didn’t receive a key, you must request one online via the OBR.

Here’s a step-by-step guide:

  • Go to the OBR site and look for “Set up your Ontario Business Registry profile”, then select “Get your Company Key.”
  • Search your business by name, Ontario Corporation Number (OCN), or Business Identification Number (BIN). 
  • If the business has an official email on file (and it matches), the key will be emailed to you instantly.
  • If there is no email or it doesn’t match the file, the system prompts you to have the key mailed to your registered corporate address. That may take a few business days. 
  • In cases where the address or email doesn’t align, additional review might be needed before the key is sent (up to 5 business days). 

How to Link and Use the Company Key?

Once you have it, you’ll need to link your business to your My Ontario Account to start managing the profile.

  • Sign into your My Ontario Account (if you don’t yet have one, you’ll need to create it).
  • Enter the Company Key to link your business to your account. After linking, your business shows up in your ServiceOntario account.
  • Once linked, you can file articles, update addresses, renew registrations, order status certificates, and more—all via OBR.

Always keep the key private and only share it with trusted service providers or legal counsel.

Common Issues And Troubleshooting

Even with a solid system, businesses might hit bumps. Here are some common ones and how to overcome them:

  • Email on file doesn’t match — the OBR might reject emailing the key. In that case, use the mailing option with your registered address.
  • Incorrect registered address — if the address on file is outdated, the mailed key may go to the wrong location. Before requesting, ensure your address is current.
  • Key doesn’t arrive — if the mail takes too long or fails, you may need to contact Service Ontario support.
  • Third-party / service provider filings — some providers already have delegated authority. But even then, the key may need to be provided to them at least once.
